Technical details (for the curious)
Good file names
Use a clear name plus a date, for example “Job letter 2026-10”. Avoid \ / : * ? " < > |; Windows doesn’t allow them.
Documents, Desktop, Downloads
Downloads holds files from the internet and fills up fast. Documents is tidier for important files. Too many files on the Desktop slow it down.
OneDrive
If Documents shows a cloud icon, the files are also stored in OneDrive (the cloud). Safe if the laptop is lost, but it needs a Microsoft account and internet to sync.
